Privacy Policy
What data we collect, for what purpose, how long we keep it, and how you can modify or delete it at any time.
1. Data controller
The controller of the data collected on this site is TrafixIA, an AI development and process automation agency for SMEs.
For any questions about your personal data, use our contact form.
2. Data collected
We only collect the data strictly necessary for the purpose of each interaction:
- Contact form: name, company, email, phone (optional), subject, message.
- Product orders (Diagnostic, E-commerce Analysis, TrafixPress): billing information strictly necessary for issuing the invoice and performing the service.
- Executive interviews (Diagnostic, Audit): information shared orally or in writing in the course of our engagements, covered by a formal confidentiality agreement signed at the time of the order.
We do not use any analytics, profiling, or advertising cookies on this site. No third-party tracking scripts are embedded.
3. Purposes of processing
The data collected is used exclusively to:
- Respond to your inquiries (contact, quotes, qualification).
- Perform the services you entrust to us (report writing, system deployment, ongoing support).
- Produce the legally required commercial and accounting documents (quotes, invoices).
- Comply with our legal and tax obligations.
We do not carry out any outbound commercial prospecting based on the data received through the contact form. No data is shared, sold, rented, or used for profiling purposes.
4. Legal bases
The processing we carry out relies on the following legal bases:
- Consent — for inquiries via the contact form, confirmed by the explicit checkbox you tick before submitting.
- Performance of a contract — for data collected in the course of ordered services.
- Legal obligation — for the tax and accounting data we are required to keep.
5. Retention periods
- Data from the contact form with no ensuing business relationship: 12 months from the last exchange.
- Client data during an ongoing engagement: the duration of the engagement, then 3 years for reference purposes.
- Accounting and tax data: 10 years, in accordance with legal obligations.
- Interview notes and reports: kept under restricted access during the engagement, then archived at the client's request or deleted.
6. Data recipients
Your data is accessible exclusively to the TrafixIA team directly involved in your file. We do not outsource any sensitive data abroad.
The only third parties that may access minimal technical data are:
- Our hosting provider (LWS) for the technical storage of the site and emails.
- Our invoicing software, hosted in countries offering strong data-protection guarantees, for issuing invoices and retaining them as legally required.
7. Security
Data is protected by appropriate technical and organizational measures: TLS encryption on all communications, named accounts with restricted access, regular backups, and secure deletion at the end of the retention periods.
No client data is used to train any AI model — neither our own nor that of any third-party vendor.
8. Your rights
In accordance with applicable data protection laws, you have the following rights over your personal data at any time:
- Right of access — know what data we hold about you.
- Right to rectification — correct inaccurate or incomplete data.
- Right to erasure — request the deletion of your data.
- Right to restriction of processing — temporarily freeze a processing operation.
- Right to data portability — retrieve your data in a structured format.
- Right to object — object to a processing operation on legitimate grounds.
- Right to withdraw your consent at any time, without justification.
To exercise any of these rights, simply use our contact form. We process every request within a maximum of 30 days.
9. Complaints
If you believe our practices do not comply with the regulations, you have the right to lodge a complaint with the competent data protection authority in your jurisdiction.
10. Updates to this policy
This policy may evolve to reflect regulatory developments or changes in our practices. It was last updated on June 12, 2026. We encourage you to review it regularly.
